The exhibition set up is to take place strictly during the allocated times. Unpacking within the exhibition area must take place in your stand area and not in the aisle ways or at another exhibitor’s stand. Aisles must be kept clear at all times and fire exits must not be utilised under any circumstances for storage.
Safety requirements #
IMPORTANT: Exhibitors and contractors will not be allowed entry to the area during bump in/out unless a safety vest is worn.
- All organisers, contractors, exhibitors and their staff must wear safety vests during the set up and dismantle of the exhibition.
- Closed toe shoes must also be worn during set up and dismantle
- No children under the age of 16 are allowed during bump in and bump out.
- No alcohol can be consumed during bump in or bump out. Alcohol service must stop at least 30 minutes prior to bump out.
Venue Induction: All contractors, sub-contractors associated staff need to complete an induction prior to the event move in. The induction process is very much focused on gathering information from anyone that is working during move in and may be involved in high risk activities/environments i.e. they are part of the build process (High Risk Workers) accessing loading dock and overall construction of the stand.

Flooring #
When moving and positioning heavy items within the venue, it is important to consider the floor loading of the area and the path available to that area.
The Exhibition bays have a floor loading capacity of 20kpa(2000kg/sqm).
Any equipment or item to be displayed or used during an event that weighs more than 1500kg, must receive venue approval, including the loading/ unloading method, prior to the item or equipment being brought onto the MCEC.
The Exhibitor and / or the Contractor is required to notify their MCEC Event Manager and provide the following information:
- The dimensions of the base of the item.
- The gross weight of the item.
- Provide a picture or diagram of the item.
- Indicate on the floor plan where the item is to be located.
- The method for loading / unloading.
Rigging #
Rigging is considered a high-risk activity and must be carried out by an MCEC-accredited rigging
company. Your Event Planner can provide a list of accredited companies permitted to work at
MCEC.
All rigging plans and associated safety documents must be submitted to MCEC for review 10
days prior to the event start date. Final amendments must be submitted three business days
before bump-in.

Test and tagging #
All electrical equipment must be tested and tagged as per “Managing Electrical Risks in the Workplace CoP”. All electrical products must meet AS/NZS3820, the use of double adaptors is prohibited.
Security #
While every reasonable precaution is taken, the organisers and the venue accept no responsibility for any loss or damage that may occur to persons or property at the exhibition resulting from any cause whatsoever.

Exhibitors must make provisions for the safeguarding of their goods, materials, equipment and displays at all times. Please be security conscious. Do not leave wallets, laptops, mobile telephones, or any easily portable items unattended, at any time, in your stand. Exhibitors are strongly advised to remove any valuable material or equipment from their booths overnight. The protection of your property is your responsibility.
