Registration Entitlements and Instructions

Anyone who attends AusRAIL26 must be registered. For security reasons, no person is allowed onsite without registering. Registrations are not to be shared between staff members. All attendees must be individually registered with their unique name badge.  

As an exhibitor, you are entitled to the below based on the confirmed size of your booth/space. Please refer to your confirmation email to confirm the size of your booth/space.  

Entitlements:  

  • Two (2) exhibitor registrations per 9sqm 
  • Two (2) tickets to the Exhibition Networking Drinks per 9sqm

Exhibitor registrations do not include access to the program sessions, catering or other social functions.  

Should you have members of your organisation wishing to attend the full conference, they must register and pay to attend. Full conference individual and group registrations can be made via the AusRAIL26 website.

Group Registration Allocation

As a group leader, you will be sent a registration email prompting you to complete your group registration. You will be allocated a pre-determined number of registrations subject to your individual entitlements. 

The registration of your attendees is a 2-step process as follows:  

  • Step 1: Access the group registration portal through the link that is sent with the manual. To allocate the registrations, you will need to upload all delegate details, including their name, email, organisation and registration cateogory.
  • Step 2: Once uploaded, allocate the registrations to the respective participants.
  • Step 3: Once assigned, you will need to send out a prompt email for participants to adhere to privacy questions and submit additional contact information (such as emergency contact details). This is required to be completed for them to receive a registration confirmation email.  
  • If you, as the group leader, are attending the conference, you must allocate a registration for yourself in the portal. 

Please note: a registration is only deemed complete when the participant receives an email informing of the successful completion of their registration along with a unique registration identifier.  

To ensure lead-tracking technology is set up for all exhibitors prior to arriving onsite, allocation of exhibitor registrations must be completed by 9 October 2026. 

Accommodation 

Preferential rates have been negotiated specifically for AusRAIL26 at several hotels conveniently located near the venue. This information will be available via the AusRAIL26 Accommodation page at a later date.

Welcome to the AusRAIL 2026 Exhibitor Manual

This manual contains important information from the conference organisers and exhibition service providers.

It has been designed to answer your pre-event and onsite enquiries, provide documentation to claim your exhibitor entitlements before the event and assist you in your role as an exhibitor.

It is your responsibility to share this exhibitor manual with any contractors or stand builders to ensure they comply with the necessary requirements.
